As we continue to grow, we are seeking a tech-savvy administrative professional to join our team. This role is instrumental in ensuring the office runs smoothly, welcoming visitors, and supporting the administrative needs of the firm’s 14 team members.

Job Description

Essential Functions

  • Greet company visitors and provide excellent guest experiences
  • Execute a wide-range of administrative and office management tasks
  • Provide day-to-day administrative support to leadership and team members as needed
  • Manage CRM system, including inputting contacts, managing database, exporting contacts to email marketing systems
  • Order office supplies, keep kitchen and meeting rooms stocked, clean and organized
  • Manage conference room bookings and coordinate team meetings and office events
  • Support employees with tech equipment requests and office space logistics
  • Manage office expenditures, including purchases and expense reporting
  • Support recruiting and hiring, including candidate interview scheduling
  • Assist with employee onboarding/offboarding process
  • Manage and report timesheets and PTO for payroll processing
  • Set up, test and maintain office technology and other assets to minimize business interruptions
  • Manage internal systems, vendors and associated records, including contracts, subscription services, software licenses, computer equipment, office supplies and support services
  • Monitor and triage incoming email, mail, and phone calls
  • Manage publication subscriptions and memberships
  • Assist with recruiting and scheduling research study participants for client projects
  • Maintain relationship with building management regarding maintenance, cleanliness, safety and appearance of office and oversee building resources, including keys
  • Manage submissions for awards and speaking opportunities

Required Qualifications

  • 1-3 years experience in office management or business administration roles
  • High school diploma, Bachelor’s degree preferred
  • Excellent organizational and time management skills
  • Proficiency in Microsoft Office and Google apps (required); email marketing, CMS and CRM systems (preferred)
  • Capacity to prioritize tasks and work independently
  • Excellent communication and interpersonal skills and demonstrable experience in customer service, office coordination and record maintenance
  • Charismatic and well-presented at all times
  • Ability to work flexible hours when needed for specific projects and/or office events
